Welcome to Through My Lens LLC d/b/a Through My Lens Travel Services. By booking a trip with us, you agree to comply with and be bound by the following terms and conditions. Please read them carefully.
Booking and Reservation Policies
- Reservation Confirmation: A booking is confirmed when a deposit is received, and a confirmation email is sent. The itinerary is subject to change.
- Travel Documents: All participants must possess valid travel documents. It is the participant’s responsibility to ensure they meet all entry requirements for destinations. All individuals departing from the United States of America must possess a valid passport with at least 6 months’ validity beyond their intended travel time.
- Special Requests: Any special requests (e.g., dietary requirements) must be communicated at the time of booking. While we will endeavor to accommodate, we cannot guarantee all requests will be met.
Travel Requirements and Responsibilities
- Compliance: Participants must comply with all local laws and regulations of the destination countries.
- Health and Safety: Participants must be in good health and physically able to undertake the trip. Any health concerns must be communicated in advance.
- Insurance: Comprehensive travel insurance is highly recommended. Travel insurance covering trip cancellation, medical expenses, personal injury, and loss of personal belongings is strongly advised.
Code of Conduct
- Behavior: Participants are expected to behave in a respectful and considerate manner. Any disruptive behavior may result in termination of participation in the trip without a refund.
- Responsibility: Participants are responsible for the security of their personal belongings. Through My Lens LLC is not liable for any loss, damage, or theft.
Limitation of Liability and Assumption of Risk
- Risk Acknowledgment: Travel involves inherent risks, including but not limited to illness, injury, acts of nature or loss. Participants acknowledge these risks and agree to travel at their own risk.
- Indemnification: Participants agree to indemnify and hold harmless Through My Lens LLC, its employees, and agents from any claims, damages, or expenses arising from their participation in the trip.
- Waiver of Claims: By booking a trip, participants waive any claims against Through My Lens LLC for any harm arising during the trip, including personal injury, illness, or loss of property.
Photographic Release
Through My Lens LLC may take photographs or video of its trips, and trip participants grant Through My Lens LLC permission to use these images for promotional or commercial purposes without payment of any compensation to the participant.
Privacy Policy
Through My Lens LLC is committed to protecting the privacy and confidentiality of your personal information and will take all reasonable measures to ensure the privacy and confidentiality of participants.
Automatic Billing Plan
Upon registration, you may select the option to opt-in to our automatic billing plan. When you opt-in, we will calculate an evenly divided automatic billing plan for you, and you will know in advance the day of every month that your payment will be processed. Your initial deposit is due at the time of booking, and your future payments will be charged according to the schedule you see on your invoice. Automatic billing is available at no charge. You can opt out of automatic billing by emailing us at guests@tmltravelservices.com after you make your reservations.
Payments & Cancellation
- Deposits: A non-refundable deposit of 10% of the total trip price is required to hold your space.
- Balance: The remaining balance is due in equal monthly installments, with specific payment dates provided at the time of booking. If you book the trip after the payment schedule has begun, you will be prompted to make a “catch-up payment” upon booking. Final balance payments are due 60 days before the trip departure date.
- Late Payment: A $10 late payment fee will be assessed on the 7th day after any missed payment. On the 14th day of non-payment, you automatically forfeit your spot, and no refund will be issued.
- Reinstatement of Reservations: If your travel reservations have been canceled, and you notify us within 14 days that you want to reinstate your reservations, a service reinstatement fee of $120 will be added to your invoice and must be paid in advance to apply for reconfirmation of services.
- Last Minute Reservations: All reservations must be made no later than 60 days before departure. If requested services cannot be confirmed, payment will be refunded. If services are confirmed, final payment is due within 24 hours, and all applicable cancellation penalties will apply.
- Form of Payment: Through My Lens LLC accepts all major credit or debit cards (American Express, Discover, Mastercard, Visa), Zelle, and ACH (bank transfer).
- Refunds: Refunds are based on the cancellation policy:
- Within 90 days from the date of booking, a 50% refund is applicable except for the non-refundable deposit.
- After 90 days, contact your travel insurance for a refund.
- Cancellation by Participant: Cancellations will only be accepted in writing. Email your cancellation request to guests@tmltravelservices.com.
- Cancellation by Through My Lens LLC: In the event of cancellation by Through My Lens LLC, a full refund less the non-refundable deposit will be provided.
- Reservation Name Changes: Name changes due to incorrect information being provided will incur a $100 per person charge plus any additional supplier fees. Replacing a traveling passenger with another constitutes a cancellation, subject to cancellation penalties, and is not covered by this policy. Changes or additions after departure are subject to local rates at the time of amendment and must be paid directly by the passenger to the service provider. There are no refunds for unused services.
Travel Insurance
Travel insurance is not mandatory but highly recommended. We highly recommend travel insurance that provides coverage for Trip Cancellation, Medical Coverage, Interruption, Baggage Loss, and more. There are hundreds of circumstances that could cause you to cancel your trip, return home early, or force you to seek emergency medical treatment while traveling. Travel insurance also offers coverage for unforeseen problems such as an unexpected financial change or scheduling conflict, a canceled flight, or a serious illness. Your comprehensive travel insurance policy should include medical coverage, and we highly recommend “Cancel for Any Reason” protection clauses to cover your costs. It is highly recommended that you purchase travel insurance immediately after booking, as most companies only allow 10-14 days after the initial booking to offer “Cancel for Any Reason” protection.
Governing Law and Dispute Resolution
- Governing Law: These terms and conditions are governed by the laws of the United States and the State of New York.
- Dispute Resolution: Any disputes arising from these terms shall be resolved through arbitration in the State of New York.
Medical and Health Declarations
Participants must disclose any pre-existing medical conditions that may affect their ability to participate. Through My Lens LLC reserves the right to decline any participant whose condition may pose a risk to themselves or others.
Emergency Contact Information
Participants must provide emergency contact information at the time of booking.
No-Show Policies
Participants who fail to show up on the arrival date will not be entitled to a refund.
Changes and Amendments
Any changes to bookings must be requested in writing. While we will try to accommodate, changes are subject to availability and additional charges.
Payment Packages
For packages that do not include airfare, attendees are responsible for booking their flights separately. All airfare accommodations booked separately must align with the trip’s arrival and departure days.
Acknowledgment
Participants acknowledge receipt of these terms and conditions, travel liability disclosure, and payment and refund policy, and agree to abide by them.
